Privacy Policy
Effective date: October 21, 2026
This Privacy Policy describes how My Workspace US ("My Workspace US", "we", "us" or "our") collects, uses, discloses and protects personal information when you visit myworkspaceus.com (the "Site"), contact us, or engage our services. It also explains the privacy rights available to residents of certain US states and how to exercise them.
1. Information we collect
Information you provide
- Contact and business details — name, email address, phone number, company name, job title and the content of messages you send us.
- Engagement information — if you become a client, financial, tax, payroll, banking and identification information required to perform the services, as described in your engagement agreement.
Information collected automatically
- Device and usage data — IP address, browser type, operating system, referring pages, pages viewed, and dates and times of access, collected through server logs and, where you consent, analytics cookies. See our Cookie Policy.
Information from third parties
- Business contact information from referral partners, public records or professional networks, and verification information from identity, banking or tax service providers used to deliver our services.
2. How we use personal information
- To respond to inquiries and provide, operate and improve our services.
- To perform accounting, tax, payroll and advisory engagements and comply with professional and legal obligations.
- To send administrative communications and, with your consent or where permitted, marketing communications you can opt out of at any time.
- To secure the Site, prevent fraud and enforce our Terms of Service.
- To comply with applicable law, regulation, legal process or governmental request.
3. Cookies and tracking technologies
We use strictly necessary cookies to operate the Site and, only with your consent, analytics cookies. We honor the Global Privacy Control (GPC) browser signal as an opt-out of non-essential cookies and of any "sale" or "sharing" of personal information. You can change your choice at any time via "Your Privacy Choices" in the footer. Details are in our Cookie Policy.
4. How we disclose personal information
- Service providers — hosting, email, accounting, payroll, tax-filing, e-signature and security vendors acting on our behalf under contractual confidentiality obligations.
- Professional and legal requirements — tax authorities, regulators, courts or law enforcement when required by law or to protect our rights.
- Business transfers — in connection with a merger, acquisition, financing or sale of assets, subject to this Policy.
- With your direction — to banks, investors, auditors or other parties you instruct us to work with.
We do not sell personal information and do not share it for cross-context behavioral advertising. We have not done so in the preceding 12 months.
5. Your choices
- Marketing — unsubscribe via the link in any marketing email or by contacting us.
- Cookies — use the cookie banner, "Your Privacy Choices" in the footer, GPC, or your browser settings.
- Communications — you may request that we limit how we contact you.
6. US state privacy rights
Depending on where you live (including California, Colorado, Connecticut, Virginia, Utah, Texas, Oregon, Montana and other states with comprehensive privacy laws), you may have the right to:
- Know / access the categories and specific pieces of personal information we have collected about you, the sources, purposes and categories of recipients.
- Delete personal information we have collected from you, subject to legal exceptions.
- Correct inaccurate personal information.
- Opt out of the sale or sharing of personal information and of targeted advertising. We do not engage in these activities, and we honor GPC signals.
- Limit the use of sensitive personal information to purposes necessary to provide the services.
- Portability — receive a copy of your personal information in a portable format.
- Non-discrimination — we will not discriminate against you for exercising these rights.
- Appeal — if we deny a request, you may appeal by replying to our decision; we will respond within the period required by your state's law.
How to exercise your rights: email [email protected] with the subject "Privacy Request", or use the contact details below. We will verify your identity by matching information you provide against information we hold and may request additional information. An authorized agent may submit a request on your behalf with written permission. We respond within 45 days and may extend once by a further 45 days where permitted.
Notice at collection (California): the categories of personal information we collect are identifiers, commercial information, internet activity, professional information and, for clients, financial information. We collect them for the purposes in Section 2 and retain them as described in Section 8. We do not sell or share personal information.
7. Financial privacy (GLBA)
Where our services make us a "financial institution" under the Gramm-Leach-Bliley Act, nonpublic personal information of individual clients is handled under our separate GLBA privacy notice, provided at the start of the engagement and annually thereafter. We do not disclose nonpublic personal information to non-affiliated third parties except as permitted by law.
8. Data retention
We keep personal information for as long as needed for the purposes described above, to satisfy legal, tax, accounting and professional record-keeping requirements (typically seven years for engagement records), and to resolve disputes. Website inquiry data is retained for up to 24 months after our last contact unless you become a client.
9. Security
We use administrative, technical and physical safeguards appropriate to the sensitivity of the information, including encryption in transit, access controls and vendor due diligence. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
10. Children
The Site and our services are intended for businesses and adults. We do not knowingly collect personal information from children under 13. If you believe a child has provided us personal information, contact us and we will delete it.
11. Users outside the United States
We are based in the United States and process information there. If you access the Site from outside the US, you understand your information will be transferred to and processed in the United States, where privacy laws may differ from those of your jurisdiction.
12. Changes to this Policy
We may update this Policy from time to time. The effective date above indicates the latest revision. Material changes will be announced on the Site or by email where appropriate.
